Privacy & Cookie Policy

This policy explains how Condoarade, Gestão de Condomínios, Lda. processes personal data collected through condoarade.net, in compliance with the General Data Protection Regulation (Regulation (EU) 2016/679, "GDPR") and Portuguese Law 58/2019.

2. What data we collect, why, and on what legal basis

2.1. Condominium review request

Data: name, email, phone (optional), capacity in which you make the request, building address, locality, number of units, date of the next general meeting and the documents you send (the latest minutes and, if you have them, the approved budget and accounts report), which may contain data of other unit owners.
Purpose: to prepare the one-page analysis you requested and to respond to your request. The documents are not used for any other purpose or disclosed to third parties.
Legal basis: pre-contractual steps taken at your request (Article 6(1)(b) GDPR). The person sending the documents declares having legitimate access to them as a unit owner or condominium representative.

2.2. Meeting scheduling

Video-conference bookings are made through Google Calendar's appointment service. Data you submit there (name, email and booking details) is processed to organise and hold the requested meeting (Article 6(1)(b) GDPR), under Google's own terms.

2.3. Direct contact

If you contact us by email or phone, we process the data you provide in order to reply to your request.

2.4. Browsing, analytics and advertising data

Only with your prior consent (Article 6(1)(a) GDPR and Article 5 of Portuguese Law 41/2004) do we use Google Analytics 4 and Cloudflare Web Analytics for site usage statistics. With the same consent, Google records whether you reached the site through a Condoarade ad and then sent us a request (Google Ads conversion measurement), and may show Condoarade ads on Google to people who have visited the site. Without consent, none of these cookies is set and no data is sent to these providers. See the Cookies section.

2.5. Reply emails

We reply by email to the requests we receive. These emails contain no read pixel and no click tracking.

2.6. Client Area feedback

Data: the message you write and, if you provide one, a contact detail (email or phone) for a reply.
Purpose: to review your feedback or complaint and, where you leave a contact, to reply to you.
Legal basis: Condoarade's legitimate interest in understanding and improving its service and in responding to data subjects (Article 6(1)(f) GDPR). The message is forwarded to Condoarade's management through Google infrastructure (Apps Script / Google Workspace, see section 4); it is not published or shared with third parties.

3. Retention periods

• Contact and proposal requests (including those received through the diagnosis and quote forms the site had until 4 October 2026): kept for as long as needed to respond and follow up commercially, for a maximum of 24 months after the last contact, unless a contract is concluded in the meantime (in which case the data becomes part of the client file, subject to the applicable statutory periods, notably tax and accounting) or you request erasure earlier.
• Analytics (Google Analytics and Cloudflare Web Analytics): GA user-level data retained for 14 months; Cloudflare Web Analytics does not use its own cookies and processes aggregated visit metrics.
• Ad measurement (Google Ads): the _gcl_au cookie lasts 90 days in your browser.
• Client Area feedback messages: kept for as long as needed to handle and, where applicable, reply to them, for a maximum of 24 months.
• Condominium analysis requests and documents sent: kept for 6 months and deleted within that period if no administration mandate is awarded.
• Cookie choice: stored in your browser (localStorage) until you change or clear it.

4. Recipients and processors

We do not sell or share your data with third parties for marketing purposes. To run this site we use the following providers, acting as processors or recipients:

• Netlify, Inc. (USA): site hosting; may process technical access data (such as IP addresses) in server logs.
• Google Ireland Ltd. / Google LLC: form processing and email delivery (Google Workspace / Apps Script infrastructure), meeting scheduling (Google Calendar), storage of the documents sent for condominium analysis (Google Drive) usage statistics (Google Analytics 4) and ad measurement (Google Ads), these two only with your consent.
• Cloudflare, Inc. (USA): Cloudflare Web Analytics (aggregated visit metrics, only with your consent).
• CondoPilot (Condoarade's internal platform, hosted on Vercel Inc., USA): a copy of the diagnosis and quote requests received through the site forms until 4 October 2026, for internal commercial follow-up at admin.condoarade.net; access restricted to commercial management. Not a public service and not shared with other clients.

Where these operations involve transfers outside the European Economic Area (notably to the USA), they rely on the adequacy decision for the EU-U.S. Data Privacy Framework and/or standard contractual clauses approved by the European Commission.

5. Your rights

Under Articles 15 to 22 GDPR you have the right to access your data, to rectification, to erasure, to restriction of processing, to object to processing, to data portability and, where processing is based on consent, to withdraw consent at any time (without affecting the lawfulness of prior processing).

To exercise any of these rights, write to geral@condoarade.net. We reply within one month at the latest.

You also have the right to lodge a complaint with the supervisory authority: CNPD, Comissão Nacional de Proteção de Dados (Portuguese Data Protection Authority), Av. D. Carlos I, 134, 1.º, 1200-651 Lisbon · www.cnpd.pt.

6. Cookies

On your first visit, the site asks for your consent to analytics and ad measurement. If you do not accept, no tracking cookie is set and no analytics or advertising script (Google Analytics, Google Ads or Cloudflare Web Analytics) is loaded. Your choice is stored in your browser (localStorage key cnd_cookie_consent), a strictly necessary record used only to remember your preference.

7. Security

The site is served exclusively over HTTPS and form data is transmitted encrypted. We apply appropriate technical and organisational measures to protect personal data against unauthorised access, alteration or destruction.

8. Changes to this policy

This policy may be updated to reflect legal changes or changes to the site itself. The date of the last update is shown at the top of the page. Significant changes will be flagged on this page.
